Assembling TBS and SSoW packs without doing it at 3am
Names, Sentinel numbers, roles, the Part B briefing record and the signatures: what can be pre-filled and what must stay human.
The Task Briefing Sheet and Safe System of Work pack are the documents that let a shift happen. They are also, in most small firms, assembled by hand each night from the same information that was typed into the roster, the timesheet and the competence sheet earlier that week.
What can be pre-filled
- Names, Sentinel numbers and roles for everyone on the shift, pulled from the roster and checked against the competence list.
- Site, location, possession or line-blockage details and the planned work from the job record.
- The standard sections that never change for that site and that type of work.
- A completeness check before the pack goes out: nothing blank, nobody rostered whose competence has lapsed.
What stays human
The briefing itself, the briefer's signature, each person's signature to say they were briefed, and any change the COSS or ES makes on the night. The pack is prepared for those signatures, never signed for them.
After the shift
The signed pack needs filing where the client and an auditor can find it, and the names on it feed the timesheet and the EOSR. Doing that automatically is where the second half of the hours comes from.
