Chasing signatures and invoices without a person doing it

The polite, persistent follow-up that gets packs signed and invoices paid, and why it shouldn't be a planner's job.

In most rail offices the same person who plans the shifts also chases the signatures on last night's packs, chases the timesheets that haven't come in, and chases the client for invoices that are thirty days overdue. Each chase is small. Together they are a working day a week.

What a good chase looks like

  • It knows what is missing: which pack is unsigned, which timesheet is absent, which invoice is past terms.
  • It goes to the right person, by the channel they actually read, at a sensible time.
  • It is polite the first time, firmer the third, and it stops the moment the thing arrives.
  • It escalates to a human only when the rules run out: a disputed invoice, a signature that is refused.

Why automate it

Because it is rule-based, repetitive and nobody enjoys it. The decision ("do we chase this client harder?") stays with the owner; the sending, tracking and stopping does not need to. The office gets its day back and the cash arrives sooner, which for a subcontractor paying wages weekly is the difference that matters.
